The purpose of the WIEUG is to unite participants from member Wisconsin healthcare organizations so they are able to collaborate on interoperability, share best practices and lessons learned in working with Epic applications and hear from industry leaders on trends and current hot topics.  There are more than 1600 individuals in our organization’s contact database sessions from almost all of the major WI Epic organizations.  WIEUG offers an opportunity for organizations to make connections with their peers on all things Epic and has more than 120 facilitated sessions annually to discuss interoperability opportunities, Epic applications, workflows and Epic related regulatory projects that impact Epic applications.

Corporate Sponsorship (please note that sponsorship operates on a rolling calendar year)

    • Company logo recognition on all member emails / all marketing materials.

    • Listed as a corporate sponsor on the Corporate Sponsor website page with a logo that has a direct link to the company’s website, company description and contact information.

Session Sponsorship: 

  • Base Session Sponsorship - $1000
    • Up to 60-minute presentation on a topic approved by the Executive Director of the organization.  Presentation must be educational and must either be paired with an Epic organization or a case study of a current client.
    • Company logo recognition on all event marketing materials.
    • Announcement on the WIEUG website with a direct link to companies’ website and company description and contact information.
    • Extension of the session to the IL-RUG membership (includes Advocate, Luries, Northwestern, Midwestern, IBJI, UI Health, UCM and Access)
    • Announcement of sponsorship on LinkedIn.
    • Pre-session email content and post session email content to participants.
    • An ability to share presentation slides via a Sponsor landing page or to attach the slides as part of the post-session email.
    • Invitations for up to 4 from your organization to attend and participate in the session.
    • Attendee list from the event (includes name, role (if known) and organization only).
  • Expanded Session Sponsorship - $1500
    • All of the above base session sponsorship benefits, plus
    • The ability for the Sponsor to invite external guests, pursuant to meeting confidentiality requirements, to the session to participate.
    • Ability for the organization to use and share the recording of the session for up to 6 months past the session date.

Platinum face to face session sponsorship

  • $8000 for limited (under 20 people) Networking events
  • $12,500 for extended (20 people and over) Networking events.
    1. Company logo recognition on all event marketing materials.
    2. Pre-session email content and post session email content to participants.
    3. Announcement on the WIEUG website with a direct link to companies’ website and company description and contact information.
    4. Announcement of sponsorship on LinkedIn.
    5. Three complimentary invitations to attend the session.
    6. Up to 10 minutes on the session agenda.
    7. Attendee list from the event (includes name, role (if known) and organization only).

WIEUG Sponsorship TERMS AND CONDITIONS

  1. Agreement Terms: By indicating an interest in sponsorship, the Sponsor agrees to the following terms and conditions.  These terms and conditions are considered active until the Sponsorship term has been completed (as indicated in the Sponsorship option chosen).

  1. Payment Terms: The Sponsor agrees to pay the monetary contribution prior to any sponsorship activities including sponsorship notification or announcements, session/event scheduling or coordination. Payments will be accepted via ACH, check or credit card. A 3% service fee will be charged for credit card payments.

  1. Sponsor's Representations and Warranties: The Sponsor represents and warrants that:
    1. They have the authority to enter into this Agreement.
    2. Their intellectual property does not infringe on third-party rights.
    3. If the presentation, session or event materials includes confidential property of any third party, including Epic, a statement that the distribution of this information is in accordance to that third parties release policies.
    4. Sponsor hereby grants WIEUG a limited, non-exclusive license to use Sponsor's trade names, trademarks, service marks and other proprietary information (the "Proprietary Information") owned by the Sponsor. WIEUG's use of the Proprietary Information is subject to the approval of the Sponsor's designated representative. The Sponsor agrees that approval shall not be unreasonably withheld.
    5. The Sponsor has the ability to update their trade name, trademarks service marks and other proprietary information during the course of the agreement.

  1. Organizer’s Obligations The Organizer agrees to:
    1. Provide the agreed-upon benefits to the Sponsor.
    2. WIEUG agrees that the Proprietary Information will be used only in connection with WIEUG Member correspondence, WIEUG social media, and Events to provide the benefits set forth in this Agreement. 

  1. Term and Termination This Agreement shall commence on the date first written above and shall continue until the conclusion of the Event. Either party may terminate this Agreement with 30 days' written notice, up to 10 business days prior to the Virtual Event, up to 45 business days prior to Face-to-Face Event. 
    1. For session Sponsorships:  If activities have been completed to support the event or sponsorship, the refund amount will be pro-rated to account for the expenses associated with the activities that have been completed. 
    2. For corporate Sponsorships: No refunds will be given for corporate sponsor cancellations.

  1. Confidentiality Both parties agree to keep the terms of this Agreement confidential.  WIEUG will not share individual information—including email or phone contact information—as a matter of practice with Sponsors, regardless of the amount of their sponsorship contribution. If the Board member so chooses to share this information, it will be at the individual Board member’s sole discretion and may only contain that organization’s proprietary information. Any Board member’s decision to do business with the Sponsor will be outside WIEUG control and will be in accordance with the Board member’s organizational policies and procedures.

  1. Indemnification Each party agrees to indemnify and hold the other harmless from any claims, losses, or damages arising out of their respective obligations under this Agreement.

  1. Governing Law and Dispute Resolution 
    1. The validity, construction, and enforcement of this Agreement are governed by the law of Illinois. If any part of this Agreement is found to be invalid or unenforceable, that portion of the Agreement shall not affect the validity or enforceability of any other provisions. In any action to enforce this Agreement, the complaining party shall bring the action in a court within the State of Illinois.
    2. Each provision of this Agreement shall extend to and shall, as the case might require, bind and inure to the benefit of the parties and their respective heirs, legal representatives, successors, and assigns.
    3. The parties affirm that the consideration for this Agreement is as stated above, that they have received no other promise or Agreement of any other kind to cause them to execute this Agreement, and that this is the complete Agreement of the parties.
    4. This Agreement may be signed in counterparts and the signed counterparts shall be construed as one instrument for all purposes. Signed copies sent by facsimile or by electronic mail shall be treated as original signatures.

  1. Entire Agreement The payment of sponsorship indicates approval of the entire agreement between the parties and supersedes any prior agreements or understandings.
